What is a typical folder structure when scanning documents?

Imagine a digital folder (folder 1) representing a box of documents and each paper file folder inside the box is represented by another digital sub-folder (folder 1A). Inside the sub-folder (folder 1A) you will find PDFs representing each stapled or clipped section. In order to keep the scanned documents organized, it is prudent to name each box and folder prior to scanning. Your scan project will only be as organized as your labeling of each box and folder. The stapled sections will be auto-numbered 01, 02, 03… to save money and time. Naming documents is not a cheap service, especially if there are only 1 to 3 pages per document.

Follow the same folder structure for a 3-ring binder. The main folder will be the name of the binder and the sub-folders will be each tab inside the binder. Using a sub-folder for each tab is very helpful if there are multiple stapled or clipped sections within a tab. If there are no stapled or clipped sections within a tab, the other option is to name each PDF as shown on the tab. The resultant is a main folder named after the 3-ring binder with only PDFs inside the main folder.

Even though your documents may seem very organized and easy to find after scanning, it may benefit you and your staff to OCR the documents. OCR (optical character recognition) is not 100% accurate, but it may help you locate a specific documents much quicker than documents with no OCR.
